This Code of Conduct outlines the standards of behavior expected from all employees, contractors, and consultants of SJM Labs Ltd. As a company dealing with sensitive Voice Intelligence and AI technology, our reputation for integrity is our most valuable asset.
1. Introduction & Core Values
SJM Labs is not just a software company; we are custodians of our clients' business operations. Every decision you make should align with our core values:
- Reliability: We are the "Safety Net" for our clients. We do not cut corners on uptime or stability.
- Transparency: We are honest about what our AI can and cannot do. We never over-sell functionality.
- Privacy First: We treat client data with the same security as banking data.
2. Information Security (InfoSec)
Due to the sensitive nature of the data we process (Voice Biometrics), strict adherence to InfoSec protocols is required.
CRITICAL: The "Clean Desk" & Data Policy
- No Local Storage: You are strictly prohibited from downloading client audio files (.wav/.mp3) or transcripts to your personal device or local hard drive. All access must remain within the secure SJM Portal.
- Screen Locking: If you leave your workstation, even for a minute, you must lock your screen (Windows Key + L / Cmd + Ctrl + Q).
- Credential Sharing: Never share your SJM Portal or AWS/Google Cloud credentials with colleagues. Use delegated access if necessary.
Password Security
All corporate accounts must use a unique password of at least 16 characters. Two-Factor Authentication (2FA) is mandatory for: Email, SJM Portal, GitHub, and Cloud Consoles.
3. AI Ethics & Product Integrity
As developers and sellers of AI, we have a responsibility to use the technology ethically.
- No Deception: When conducting demos, you must not fake the AI's capabilities. If the AI hallucinates or fails, own it. Do not "Wizard of Oz" (fake) the demo.
- Bias Monitoring: Developers must actively monitor the AI models for racial or gender bias in voice recognition and report any anomalies to the Engineering Lead immediately.
- Voice Cloning: The use of SJM technology to clone voices without explicit, written consent from the voice owner is strictly prohibited and grounds for immediate termination.
4. Anti-Bribery & Corruption
SJM Labs complies with the UK Bribery Act 2010. This applies to all employees, regardless of location (UK, KSA, or Remote).
- Gifts: You may not accept gifts from vendors or clients valued at over $50 USD.
- Kickbacks: You may not offer or accept "kickbacks" for closing deals or selecting vendors.
- Government Officials: Extra caution must be taken when dealing with government contracts. No payments or gifts of any kind are permitted to government officials to expedite services ("Facilitation Payments").
5. Social Media Policy
You are the face of SJM Labs online. While we encourage you to share our success, you must adhere to the following:
- Confidentiality: Never post screenshots of the internal SJM Portal, code snippets, or client lists on LinkedIn, Twitter/X, or Instagram.
- Client Privacy: Do not tag a client or mention them as a customer publicly unless we have a signed Case Study agreement.
- Representation: Make it clear that opinions expressed on your personal accounts are your own and not those of SJM Labs.
6. Remote Work Guidelines
SJM Labs operates as a remote-first company. This requires a high degree of trust and self-discipline.
- Availability: You are expected to be available on Slack/Teams during your agreed core hours.
- Environment: When discussing sensitive client matters or listening to call recordings, you must use headphones. Do not use speakers in public spaces (cafes, co-working spaces) where audio can be overheard.
- VPN Usage: You must use the corporate VPN when accessing the SJM Portal from unsecured public Wi-Fi networks.
7. Disciplinary Action
Violation of this Code of Conduct will result in disciplinary action commensurate with the severity of the breach.
